Administrative duties including providing day to day support to management/team and/or office. This includes diverse administrative assignments with competing priorities, including event planning management, calendar management and travel coordination, creating and processing invoices for payment, expense reports and purchase requisitions. Includes coordinating logistics for internal and external meetings, ordering marketing and other supplies for the office
Facilities Associate is responsible for booking conference rooms, pre/post room cleaning, sorting mail, faxes and courier deliveries for distribution and preparing outgoing mail and UPS. Also responsible for special projects. Confirms that required disclosure items are on display in the Branch. Provides assistance for visitors to the office including clients, SVB leadership and other employees.
Marketing/Events responsibilities include acting as a liaison with events team on Signature events and coordinate with colleagues on all local events. Manage all Sponsorship requests and ensure associated benefits are appropriately leveraged, that we have proper representation at the event, and assistance with the coordination of speaker/panel opportunities, whether it be an SVBer or a client. Manage industry event registrations, coordinate catering and consumables and event set up and break down after events.
Facilities & Safety responsibilities include acting as the Health/Safety designee for the India office (Member of Safety Committee): completing First Aid and Fire Warden training, ongoing review of safety hazards through safety inspection risk assessments. Responsible for notification and documentation of hazards, accidents and escalation as needed through the use and maintenance of safety logs (accident books) and other required records. Overall, this role will ensure that SVB India staff are aware of their responsibilities related to health and safety, are equipped to carry out these roles and that they do so appropriately. The Facilities Associate, India, will report any matters relating to the Health and Safety policy to the Head of India as well as the Safety Committee. The Facilities Associate will escalate to the HR Business Partner as needed. Will complete all required training in a timely manner related to this function.
Other Facilities responsibilities include: vendor management and cost analysis, coordinating the maintenance of office equipment with EUS and/or vendors, acting as a liaison with facilities, assistance with office space planning, remodels, oversee seating assignments, BCM coordinator, and order and stock consumables (toner, paper, etc.).
Occasionally works with highly sensitive and confidential information. Works under general supervision but generally under own initiative. Performs majority of tasks independently with excellent proven follow through. May support more senior level employees.
Ensure appropriate controls and monitoring procedures are in place to ensure compliance with the Indian Labour Code. Act upon any amendments to these codes and regulations.
Understand administrative processes and policies, negotiate and manage expenses for events, meetings and travel for assigned team and India office.
The Facilities Associate has advanced knowledge of MS Office Suite including Word, Excel and Power Point, as well as other SVB internal systems. Must have strong prioritization, planning and organizational skills and excellent verbal and written skills.
Ability to work independently and part of team, follow established processes and procedures and liaison with other teams at SVB.
Education and Experience
Prefer 9+ years of related experience as an administrative professional
Ability to work in a team environment and assist with a variety of tasks, must be able to switch gears according to shifting priorities.
Education: Bachelor’s Degree or two years of college or relevant technical school and two additional years of relevant experience. Additional equivalent years of experience may substitute for education.
