The Corporate Procurement Division SPACP is responsible for the acquisition of goods and services to support World Bank Group’s offices worldwide. SPACP has offices in Washington, DC and Chennai, India providing support to clients for all aspects of the acquisition process, including, competitive selection, contract negotiation, purchase order issuance, change order processing and contract administration.
The Procurement Assistant in Global Procurement Operations position is located in Chennai. This position reports to a Procurement Specialist under the managerial responsibility of a Senior Procurement Specialist in Corporate Procurement. The Procurement Assistant will be responsible for issuing purchase order transactions in SAP, processing change orders, generating reports and providing support to clients globally. The position supports procurements of administrative, consulting, professional and advisory services as needed. The position requires effective skills and relevant work experience in the field of procurement and contracting, managing interpersonal relationships and excellent communication skills. Direct client interface would form a core part of the work.
Work requirements of this position may involve some travel and may require adjustments to the work schedule to support clients within different time zones.
Duties and Accountabilities:
Process purchase orders for standard procurements.Perform quality review of incoming purchase requests and supporting documentation.Engage with clients to clarify requirements.Perform proactive follow-up and aggressive expediting of goods and services where necessary.Resolve issues with Vendors, Project Managers and Accounts Payable on invoice payments and other matters.Prepare, as requested, reports for the Unit and internal clients (i.e., Procurement Statistics, Workload Monitoring Reports).Provide support and advise clients as requested for all procurement programs including, but not limited, to: Vendor Registration, Procurement Card, Asset Management, Helpdesk Support, eConsultant, eServices, electronic imaging, etc.Conduct quality review of procurement requisitions submitted.Provide inputs for Continuous Process Improvement.Build and maintain courteous and effective working relations with vendors, clients and colleagues.Support ad-hoc procurement related tasks as assigned.Adjustments to the work schedule may be required to support clients within different time zones. The position follows local Chennai Office holiday schedule.
Selection CriteriaA Bachelor’s degree or equivalent combination of education and experience.A minimum of 2 years relevant experience.Knowledge and experience in the use of SAP MM is required.Ability to conduct preliminary review of basic procurement documents and identify problems and inconsistencies.Strong communication skills in English including the ability to prepare and present findings in written and oral form.Thorough knowledge and use of relevant computer software (MS Office) and the ability to organize and operate data/information in retrieval systems is desirable.Good knowledge and understanding of Public or UN System procurement policies, processes and practices is desirable.Demonstrated success in applying current procurement techniques is desirableAbility to deal sensitively in multi-cultural environments and build effective working relations with clients and colleagues.
