Objectives of the position
The Procurement Department is in charge of acquiring goods and services for Ubisoft group.
We bring value to purchases: We support and add value to Ubisoft’s operations by making the best deal to fill the company’s needs and what suppliers can offer in terms of quality, cost & risk leverage, in a fair and ethical manner.
These objectives are valuable for all procurement employees. More precisely, the main mission of the Purchase Executive is to optimize the purchases of his/her site (Studio or other), while ensuring a good quality of delivery/service to the Internal Clients. Hence, he/she has a key position between local internal customers, global buyers & procurement coordinators peers, and suppliers.
Manage Studio local sourcing needs, from the definition of the business need to sourcing, Purchase Order Management and the payment follow-up.
For PR that are complex/ or at stakes at BU level, adapts the right sourcing methodology (Project Management, RFx, Negotiation, …)
Take charge local sourcing & negotiation with Suppliers, based on possible application of global contracts vs local ones.
Ensure Ubisoft approval rules are respected before processing the order
Track transactions (purchase requests, orders, and receipts) in dedicated Tools (Peoplesoft) and ensure the good communication with Supplier about it.
In charge of Contract application locally :
Ensure continuous awareness on global agreements application, regarding local needs (via the use of PTB):
Understand contracts and their framework
Ensure negotiation of local contracts is done with key internal partners (Legal, Buyers Team, …)
Ensure centralization of Knowledge Management about local contracts in the global Tool : PTB
Remain in close interactions with Global Buyers network and other procurement coordinators.
Share common database (PTB) to archive history on Supplier relationship management and contract archiving.
Remain in sync with procurement coordinators peers to benefit from best practices and benchmarks
Maintain and develop a good relationship with suppliers:
Respect the highest ethical standards, at any time, when dealing with suppliers.
Knowledge of STPI compliances will be an advantage (Moderate Knowledge)
Should handle documentation of Import/ export shipments and maintain physical and softcopy record of the same
Negotiation: Build a complete negotiation plan. Define priorities and objectives. Find all the leverage Obtain the best out of the supplier
Stakeholder’s management: Make things happen with all the stakeholders, from internal clients to the others support function such as legal. Be recognized by internal clients, included at the very beginning of the projects, trusted when proposing a new approach
Analytics: Capacity to find the important / necessary information using our tools. Be able to switch from the overall vision to the details and the other way around.
Innovation focus: Challenge yourself by talking to suppliers, to clients, to the other vendors, to buyers from other companies. Always think about new approach
Presentation skills: Understand the meaning / goal of the presentation. Have a good written and oral expression skills. Give the good level of details. Capture and convince the audience
Contract and risk management: Understand a contract. Challenge and optimize the conditions. Mitigate the overall risks and propose the right balance between risks and costs. Define the most relevant type of contract
Suppliers management: Have a clear view of your panel, define the main suppliers, do business reviews with the most important ones, rationalize your panel
Team work: Talking with your colleagues. Be identified as the source of knowledge. Motivate the people working with you. Explain a deal to the purchasing ops or the top management
Tech savviness: Understand the stakeholders and suppliers on technical aspects. Challenge the pricing models and internal needs accordingly
Spend Management: Don’t do only spend control. Be implicated into the budget elaboration. Follow the spend evolution per supplier/category depending on Ubisoft activity and market evolution
CSR approach: Find ways to extend usage of goods within Ubisoft. Promote stable solutions over time. Find CSR solutions. Re-use when possible.
