Role- Executive Assistant- CEOLocation- Chakala, Andheri- EastExperience- minimum 2 yearsWebsite- www.swayamhealth.com· Responsibilities:o Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.o Attend meetings and keep minuteso First point of contact for anyone who wishes to meet the CEO, be it vendor, supplier, client oro freelancero Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)o Make travel arrangements and hotel bookingso Handle confidential documents ensuring they remain secureo Maintain electronic and paper records ensuring information is organized and easily accessibleo Conduct research and prepare presentations or reports as assigned· Managed and well-coordinated board and other meetings. Assisted with creating board manuals and material along with all catering of meetings.· Make travel & accommodation arrangements (domestic/international – includes ticketing, visa, forex, transfers and hotel stay).· Screen telephone calls and act as the point of contact for internal and external clients for the department. Maintain a current and organized filing system and retrieving documents and reference materials.· Liaison with different Authorities like Auditors, Bankers, Lawyers and Registrar of Companies.· Prepare & Format information for internal and external communications, letters, memos, invitation and agendas including editing and proof reading.· Manage reimbursements request, reporting of provisions & expenses to Accounts team. Manage MIS with respect to board meetings and directors’ remuneration.· Maintenance of Secretarial and legal records of the Company such as Notices, Agendas and Minutes of Annual general Meetings, Board Meeting and Extra Ordinary general Meetings· Requirement:o Proven experience as executive secretary or assistanto Proficient in MS Officeo In depth knowledge of secretarial management and basic accounting procedureso Familiarity with basic research methods and reporting techniqueso Excellent organizational and time-management skillso Outstanding communication and negotiation abilitieso Integrity and confidentialityJob Types: Full-time, Regular / PermanentSalary: ₹180,000.00 – ₹600,000.00 per yearSchedule:Day shiftAbility to commute/relocate:Andheri East , Mumbai – 400059, Maharashtra: Reliably commute or planning to relocate before starting work (Preferred)Experience:relevant work: 1 year (Required)Language:English (Required)
