Job Summary: 1. Responsible for Leave Workflow2. Responsible for New Visa3. Responsible for Employee Separation4. Responsible for Time and Attendance (Secondary Responsibility)Essential Duties, Responsibilities: 1. Attend to leave workflow which includes the below tasks: -a. Initiate Leave Application for Approvalb. Check for Leave entitlement and update workflowc. Follow up with HOD incase of delay in approvalsd. Update leave record in HRMe. Submit report of employees who are absconding and non-returned from leave daily2. Attend the following task of Recruitment and New Visa Workflow: -a. Originate Request for Manpower (RFM) if required.b. Upload Offer letter or upload subcontract agreement.c. Attend to the onboarding requirements, which includes the below: -i. Collect medial report from candidateii. Apply visa for the candidate in portaliii. Upon receipt of visa, sent the same to candidate and acknowledge receiptiv. Confirmation on ticket bookingv. Confirmation on Ok to Boardvi. Arranging transport to pick from airportd. Confirm Final Joining Date and Begin Process for Medical Insurance and Visa as per below: -i. Upload New Visa documents in Dubai Trade Portalii. Upload New EID documents and receipt EID Registration Formiii. Receipt of Visa Medical Scheduled Dateiv. Receipt of Employee Contract Formv. Receipt of EID Biometric appointmente. Initiate Employee Bank Account (HR Admin India) in C3 portalf. Review pending task and follow up with the concerned in case of delayg. Update Visa master file in Alfresco daily3. Attend to Employee Release workflow tasks: -a. Initiating the workflow for Employee Releaseb. Complete the Cancellation Requirements and update HRM as per below; -i. Upload Passport Copy with Visa Page, Form 7 signed by both employee and employer in Dubai Trade portalii. Payment Authorisation for the cancellation in Dubai Trade Portaliii. Receipt of Visa Cancellation Paperiv. Complete Employee Travel Arrangements and obtain Exit Reportv. Upload Exit report in Dubai Trade Portalvi. Receipt of Credit Note from Insurancevii. Verify and Update HRM4. (Secondary Responsibility in the absence of leave of Timekeeper)Time and Attendance control which includes the below: -a. Check Time and Attendance system (TA) daily for absenteeism and miss punchb. Update TA daily after getting approval from HR Administratorc. Register subcontract employees in TAd. Mark absent and informed leave status for subcontract employees in TAe. Leave Updations in TAf. Job number updation in SPICAg. Location and Supervisor updation in HRMh. Submit previous date absenteeism report by 1100hrs dailyi. Submit TA report of the previous month by 3rd of every month for displaying at all work locations for salary processingj. Update absent report with HR status5. (Secondary Responsibility in the absence of leave of Timekeeper)Responsible for subcontract manpower timesheet which includes the below: -a. Submit monthly timesheet of subcontract manpower to vendors and take confirmation once approved by respective Project Managers.b. Verify the subcontract manpower invoice received from each subcontractor with the timesheet submitted, subcontract rates in the agreement and initiate purchase requisition.c. Check Time and Attendance system (TA) daily for absenteeism and miss punchd. Update TA daily after getting approval from HR Administratore. Mark absents and informed leave status for subcontract employees in TAf. Leave Updating in TAg. Submit previous date absenteeism report by 1100hrs dailyh. Submit TA report of the previous month by 3rd of every month for displaying at all work locations for salary processingRequirements: Competencies: A Bachelor degree from a recognized university is a minimumExperienced in Time and Attendance ManagementComputer literateEffective Decision MakingBehavioral Competencies: Must have good Communication skills.Must have good Planning and Organizing skillsMust believe in Teamwork and development of sub-ordinates.Accepts responsibility / accountability.Experience: 3 to 5 years’ experienceSelection Requirements: Must have worked in the role of Administrator for at least three yearsJob Type: Full-timeSalary: ₹20,000.00 per monthSchedule:Day shiftEducation:Bachelor’s (Preferred)Experience:Administrator: 3 years (Preferred)
